Visa Invitation Letter & Refund Policy
(For participants requiring a visa to attend the conference)
1. General Principles
The conference organizers are pleased to support legitimate participants who require a visa to travel
to Switzerland. However, due to increasing misuse of conference invitation letters in international
visa applications, the following policy applies to all requests.
The conference organizers:
• Do not issue visas.
• Do not influence visa decisions.
• Assume no legal or financial responsibility for visa applications.
• Reserve the right to decline issuing an invitation letter at their discretion.
2. Eligibility for an Invitation Letter
An official visa invitation letter will be issued only if all of the following conditions are met:
1. Completed registration
2. Full payment of the registration fee received and confirmed
3. Submission of:
o A copy of the passport biodata page
o Full residential address
o Institutional affiliation confirmation (institutional email address + webpage)
Invitation letters will not be issued:
• Prior to confirmed payment
• For pending or partially completed registrations
• On the basis of payment intent or provisional booking
3. Processing Time
Invitation letters will be issued within 3 business days after:
• Payment confirmation
• Receipt of all required documentation
4. Content of the Invitation Letter
The invitation letter:
• Confirms registration and payment
• States the conference title, dates, and location
• Clarifies that the conference assumes no financial responsibility
5. Refund Policy for Visa Applicants
The meeting offers no refunds of any registration fee for any reason.
6. Fraud Prevention
The conference reserves the right to:
• Refuse issuing invitation letters in cases of suspected misuse.
• Cancel registrations if payment irregularities (including chargebacks or fraudulent
transactions) occur.
• Share relevant information with payment processors in case of fraud investigation.
7. Acceptance of Terms
By registering for the conference and requesting an invitation letter, the participant acknowledges
and accepts the terms of this Visa Invitation Letter & Refund Policy.
